Primary Purpose:
To provide all K-12 Fine Arts, Advanced Academics and special populations with appropriate clerical support that will result in increased student achievement, engagement and growth.
Qualifications:
Education/Certification:
High School Diploma or equivalency
Some business and/or technical training
Special Knowledge/Skills:
Ability to work together with other employees as part of a team
Excellent verbal and written communication skills
Strong public relations, organizational, and interpersonal skills
Proficient computer, typing, word processing, and file maintenance skills
Knowledge of basic accounting principles
Ability to manage budget
Ability to operate general office machinery (fax machine, copier, computer, typewriter, calculator, multi-line phone, printer, etc.)
Multi-task oriented
Ability to perform duties without direct supervision.
Ability to interpret policy, procedures and data
Flexible and able to handle multiple projects and activities simultaneously
Experience:
Three years of secretarial experience preferably in the public-school environment.
Major Responsibilities and Duties:
- Perform and assume all general clerical/secretarial tasks independently with the guidance of the Coordinator of Fine Arts and Advanced Academics.
- Promote a positive attitude toward visitors, district and campus personnel.
- Communicate with Fine Arts and GT teachers and assist with purchase orders, travel submissions, and monitor budgets for gifted and talented.
- Assist in organizing meetings with campus principals, district Spelling Bees, district-wide UIL Events, Credit by Exams, etc.
- Direct incoming calls to appropriate personnel and take phone messages.
- Compile pertinent data as needed when preparing various state and local reports.
- Support needs related to any program or special population in grades PK-12.
- Assist in the preparation of manuals, handbooks, and other materials as well as making necessary arrangements for professional development.
- Assist other directors, coordinators, and secretaries with projects and other activities as needed.
- Make travel arrangements, manage calendars and mileage reimbursements for the Coordinator of Fine Arts and Advanced Academics.
- Maintain and update courses for district Professional Development in Schoolmint Plan.
- Creation of and organizing testing sessions for GT identification, including ordering materials, distributing, and returning for scoring.
- Requesting GT records from other districts through TREX.
- Creation of GT records in SIS.
- Scheduling GT admission meetings.
- Maintenance of GT budget.
- Maintain confidentiality.
- Order and maintain office supplies as needed.
- Assist in other duties as assigned with Support Services.
- Set up and clean-up rooms for professional development activities, including room arrangement of tables and chairs for instructional initiatives.
- Receive, distribute, and sort mail to appropriate personnel.
- Support administrative policy.
- Represent the school system to the community in a positive and professional manner.
- Maintain organization and effective communication for office efficiency.
- Exemplify high standards of ethical conduct according to District Policy.
- Accept other duties as assigned by the Coordinator of Fine Arts and Advanced Academics.
